Why should I prepay my accommodation?
Accommodation arrangement during trade fairs, exhibitions, congresses and busy periods in general, are significantly different from the leisure market accommodations. The prepayment of the accommodation is a guarantee that your room is a 100 % secured.
Searching
Can I search by price?
Yes! Search as usual for a destination with your dates of travel. Once you have your search results, just choose to sort the results by "price."
How can I see how much it will cost?
Once you've entered the dates of your stay, the rates will be clearly displayed along with the available room types.
Can I search for a place to stay in a specific area or near a landmark?
Yes, you can narrow down your search in several ways:
- You can enter the name of the region (example: Tuscany), district (example: Manhattan) or landmark (example: Eiffel Tower) into the search box.
- If you have already started a search you can use the filters on the left hand side of the page, including the "District" filter.
- You can find properties on a map by following the show map link and picking icons to see the prices and availability for each.
What is the location of the hotel?
The property’s page on our website has a link to a map of the area. By following the link to show map, you can see where the property is located. The property you are currently looking at will be highlighted, and other properties or landmarks nearby are shown. Once you make a reservation, your confirmation email will also contain a link that allows you to map your route to the property.
I'm looking for accommodations suitable for a family. How do I search for them?
There are 2 ways you can search for family accommodations:
- When entering your destination in the search box, you can select the number of rooms you'd like, along with the number of adults and/or children that will need to be accommodated. The results shown will be limited to those that match your specific requirements.
- After you select your destination and the dates of your stay, a list of available properties is displayed. Look for the list of filters on this page, and here you can choose family rooms or family-themed properties.
Room types
What is the difference between a Double Room and a Twin Room?
A Double Room has one double/full bed and a Twin Room has 2 twin beds. If a room is called Double/Twin, it can be set up for either type. You can specify your bed-type preference in the "Special Requests" box during the booking process.
What is a "non-refundable" or "free cancellation?"
Every room has a different policy set to it (by the hotel).
- A non-refundable policy means that a fee will apply if you decide to cancel or make changes to your booking. This fee is mentioned in the room conditions and in your confirmation.
- Free cancellation means you can change or cancel your booking free of fees, if done within the time period set by the hotel. This is written in the room conditions and in your confirmation (for example "Cancel up to x days" or "Cancel before mm/dd/yy hh:mm").
Can I request an extra bed in my room and will there be an extra fee?
Information regarding extra beds can be found under "Hotel Policies." Please take note of the following:
- Additional fees, if any, are not included in the reservation price.
- During the online booking process, please note your request for an extra bed/crib in the Special Requests box provided.
- If you’ve already booked your stay, just click the link provided in your email confirmation or at My Booking.com to request an extra bed.
- We recommend calling the hotel prior to your arrival to guarantee your request. You can find the hotel’s contact information in your confirmation email.
We have children; can we get extra beds/cribs in the room?
Information regarding children and extra beds/cribs can be found under "Hotel Policies." Please take note of the following:
- Any additional fees for children are not included in the reservation price.
- During the online booking process, please make your request for any extra bed/crib in the "Special Requests" box provided.
- If you’ve already booked your stay, just click the link provided in your email confirmation or at My Booking.com to request an extra bed.

Prices
Are the prices provided on your site per person or per night?
All the prices provided on our site are calculated on a PER ROOM/PER PERSON basis for the total duration of your stay. Prices include local service charges and taxes. However, for some destinations certain hotels do charge city tax or resort fees, further details of this can be found on the payment page of the booking process.
Why can I see the price displayed for hotels change when I come back later?
Prices are subject to market fluctuation. They can vary slightly due to the currency chosen by you and the daily market exchange rate. However, once you have booked a hotel stay with us, the currency exchange rate is fixed during payment. For "Early bookings" the first payment will be charged at the time of the booking and the balance will be automatically debited a few days before the check-in date. Please note that foreign exchange rates could change between the initial payment and balance due date.
Do Booking-expo.com charge a reservation fee?
We do not charge a booking fee when you make a hotel reservation on booking-expo.com site as we are committed to providing you with the best rates on the market. Bookings made by debit cards do not incur any payment fees. Booking payments using credit card include a bank processing charge. For some destinations, certain hotels charge a mandatory city tax imposed by the applicable taxing authorities or resort fee which are not collected by booking-expo.com and thus not included in the price. You will be required to pay any such fees/taxes directly to the hotel upon check-in or check-out. Details of these are clearly displayed on the payment page of the booking process.
Can I pay with a bank transfer?
Yes, this is possible. You have to contact us and we will send you a pro-forma invoice with our bank details on the bottom of the invoice.
I have paid a deposit using my credit card and I want to pay the balance by bank transfer.
Yes, it is possible. Please contact our customer service department for the bank transfer process.
Are children's beds available?
Providing you have specified in the search engine the number and age of children/baby you have, the results will display room information with an option for additional beds and/or cots.
Is breakfast included in the price?
Breakfast will be included depending on the room option you choose. In the list of available rooms and during the booking process you can see if the offer has "Breakfast included", "Continental Breakfast", "Half Board", "All Inclusive", "Full Board" or "Room Only". Once the reservation has been completed you can also check on the voucher document to give to the hotel upon arrival.
What are the different types of breakfasts?
The major types of breakfast offered at hotels are the following:
Continental breakfast
A hotel breakfast that is served commonly in the continental Europe, North America, and elsewhere, as opposed to the English breakfast served commonly in the UK.
This type of breakfast may include sliced bread with butter/jam/honey, cheese, meat, croissants, pastries, rolls, fruit juice and various hot beverages.
English/Full breakfast
Traditional breakfast (also called full breakfast, usually served in inns or restaurants) may include cereals, porridge or stewed prunes, melon, yogurt, boiled eggs or bacon and eggs, grilled fish, sausages, grilled or fried mushrooms or tomatoes with fried bread, followed by toasted bread and marmalade and tea or coffee. Modern English breakfast (usually served in hotels or motels) may include cereals, bacon and eggs, toasted bread and marmalade with tea or coffee.
American breakfast
A hotel breakfast that might include the following: eggs, sliced bacon or sausages, sliced bread or toast with jam/jelly/butter, pancakes with syrup, cornflakes or other cereal, coffee/tea, orange/grapefruit juice. Also called American style breakfast.
Buffet breakfast
Breakfast buffet offers a wide selection of hot specialties like home-made sausages, eggs, vegetable meals and more.
Is the parking cost included in the price of the room?
No, unless otherwise mentioned on the website during the booking process.
Credit Cards
The property has charged my credit card. What should I do?
The charge you see could be any one of the following:
- Pre-authorization: A pre-authorization is just a validity check that temporarily blocks on your credit card an amount roughly equivalent to the cost of your reservation. The amount will be unblocked after a certain amount of time. How long this takes will depend on the property and your credit card provider.
- Deposit or prepayment: Some properties require a deposit or prepayment at the time of reservation. This policy is clearly highlighted during the reservation process, and you can see it in your confirmation email as well. If your reservation allows for free cancellation, this amount is returned to you if you choose to cancel it.
- If you feel you've been charged in error, our Customer Service team is happy to find the best possible solution for you. Please contact us with your reservation number and details of the charge made, and we'll follow up with the property on your behalf.
Can I use a debit card to complete my reservation?
In general, hotels can't accept a debit card to guarantee a booking. However, there are some exceptions. You'll be able see if it is possible during the booking process.
Why do I need to give my credit card details?
In most cases, Booking-expo.com requests credit card details to confirm your reservation with the hotel, on your behalf. Your credit card may be checked (pre-authorized) to ensure that it is valid and/or that sufficient funds are available. After the check, the full amount will be available to you again. In some cases, your credit card details will be used to process the payment for the reservation at the time of booking. Your credit card will only be charged if you have requested a prepaid room or if the cancellation policy, found under "Hotel Policies" and room "conditions" has not been followed.
Can I make a reservation without a credit card?
You'll need a valid credit card to guarantee your reservation with most hotels. You also have the option to book a hotel using someone else’s credit card, provided you have their permission. In this case, when making your reservation please note the cardholder’s name and confirm that you have permission to use their card.
I am entering my credit card details. When will I be charged?
The payment process for your stay varies based on the individual hotel and room type. You can check how you will be charged for your stay in the "Hotel Policies," in the room description under "Conditions" and in your booking confirmation.
How will the charge be reflected on my bank statement?
Booking-expo.com shall mean Booking Expo Ltd., a company registered in Sofia, Bulgaria.
Booking Expo Ltd. manages of all its electronic payment collection (Visa, Mastercard, American Express, PayPal)
Are my credit card details safe?
Booking.com uses a secure connection for your booking:
- Your personal data and credit card details are encrypted.
- Our secure server uses "Secure Socket Layer" (SSL) technology, the online industry’s standard.
- Our SSL certificate has been issued by Comodo.
Reservation Process
Does the hotel need a deposit or payment in advance?
It depends on the hotel policy if they require an advance deposit payment or not. If they do, you can find the details under "Hotel Policies" on the hotel’s page and in your confirmation email.
How can I make a booking?
All available rooms and their corresponding prices are displayed on our website. Please go to the homepage and carry out a search in the city of your choice for dates and type of room, select your preferred hotel from the results and complete the booking process. You will receive immediate confirmation!
Can I make a booking over the phone?
If you prefer to make the booking by phone, feel free to call us on +44 1382 843 425. Our agents are available from 6 am to 10 pm (GMT) Monday to Friday and 8 am to 6 pm on weekends. Reservations made via telephone might incur extra charges.
Can I book through you and pay at the hotel?
Yes, for most of the hotels payment on arrival at the hotel are possible. But please bear in mind that for busy periods (such as the most trade fairs, exhibitions and congresses) the hotels don’t accept payment on arrival. The hotels require an advance payment before the arrival.
How can I make a special request? For example: a sea view, twin beds, room on a certain floor or dietary needs?
During the booking process you can enter any special requests into the "Special Requests" box on the "Your Details" page. Once you have received your booking confirmation, we will follow with an update with your special request.
How can I make a group reservation?
Many hotels on our website can accommodate groups.
We recommend to our clients to use the group booking form on our website for their requests. Please note that the number of rooms assigned to a group varies for each hotel and that special conditions may apply for group bookings.
Property Policies
Can I cancel or change my reservation through Booking-expo.com?
Yes, it’s easy. You can cancel or change your booking by contacting our customer service department. Please remember to check the property's cancellation policy before making any changes to your booking. Non-refundable rooms and other special deals can have a different cancellation policy. Room-specific cancellation information is included next to the room type under the "Terms&Conditions" column.
I will be arriving earlier/later than the stated check-in time. Can I still check in?
Usually this is not a problem; you can arrange for an after-hours check-in with most hotels. However, you should always confirm with our customer care department and Booking Expo will confirm with the hotel.
- You can specify your estimated check-in time while making the reservation on special request box.
- For check-in outside of the standard hours please contact our customer care department.
- You can contact the property directly using the contact details in your booking confirmation.
It's important to remember that the property can't always accommodate these requests. They'll be happy to let you into your room early if possible, but there might not be anyone there in person to welcome you if you arrive late at night at a remote apartment. It's always best to check with the property directly and in advance to avoid confusion.
How can I find a hotel's check-in/check-out times?
Check-in/check-out times differ for each hotel. You can find a specific hotel's check-in/check-out times in the "Hotel Policies" or “Terms&Conditions” section at the bottom of the hotel's page, as well as in your confirmation email.
Why should I notify you of my late arrival when I have prepaid my room in full?
In general, hotels have the right to cancel your reservation if you fail to submit a late arrival notice even though the accommodation has been prepaid in full. Please treat this with the necessary level of consideration.
How do I get more information about the room or hotel facilities?
To see the full list of room facilities and room photos, just click on the room type (e.g. "Queen Room"). If you can’t find the needed information, please contact our customer care department and they will be happy to assist you.
What happens to my booking if my plane is late?
Please contact our customer service department or the hotel directly to inform them on your late arrival.
I want to check out after the stated check-out time. What should I do?
A late check-out can only be arranged with the hotel and usually depends on availability at the time of your stay. You can ask about the possibility at the front desk upon arrival.
Why should I present the voucher/booking confirmation at check-in?
Even though hotels have your name in their internal reservation system, your voucher is your guarantee that the accommodation has been prepaid in full. Our contact details are on the voucher/booking confirmation, so that the hotel employee can easily reach us in case of discrepancy between the information stated on your voucher and the information displayed in their internal system.
I want a smoking room, but I can only choose a non-smoking room. How can I request a smoking room?
If there are no rooms listed as "smoking rooms," it means that the hotel does not allow smoking in rooms.
I called the hotel, but they could not find my name, why?
Please note that we process a significant number of bookings every day. Our contracts with the different properties allow us to keep the rooms to a certain deadline without the obligation of disclosing the guest name. Please rest assured that your reservation is secure, your name will be disclosed to the hotel no later than 2 (two) weeks prior to arrival. Still, if you insist to double check your booking details with the hotel, do let us know, so that we disclose your name at an earlier stage.
How do I find out if a hotel allows pets?
Pet policies are always displayed on the hotel’s page under "Hotel Policies."
Where can I find the contact information for the property?
If you have a question for a property before you book, please see the information under "Policies" and "Facilities" of that property on our website. If you can't find your answer there, please contact Booking Expo by phone or email, and we'll be happy to ask on your behalf.
What does the price include?
All the facilities listed under the room type are included in the room price. You can see if breakfast or anything else, such as taxes, are included by rolling your cursor over the text in the column called "Terms&Conditions."
Conformation
How do I know if my reservation is confirmed?
As soon as you've completed the booking process the confirmation page appears. We also email a copy of this confirmation to you. Your confirmation includes all of your reservation details, as well as a booking reservation number and a voucher.
I have booked a hotel but haven't received a confirmation by email. What should I do?
Try looking in the spam/junk folders as well as the inbox of the email address attached to your booking. As always, feel free to contact us if you need any further assistance.
Are the facilities in the room that I have booked guaranteed?
Yes, the room facilities listed under each room type are guaranteed by the hotel.
Cancellation/Change of a Reservation
Can I cancel or change my reservation through Booking-expo.com?
Yes, it’s easy. You can cancel or change your booking by contacting our customer care department. Please remember to check the property's cancellation policy before making any changes to your booking. Non-refundable rooms and other special deals can have a different cancellation policy. Room-specific cancellation information is included next to the room type under the "Terms&Conditions" column.
If I need to cancel my booking will I pay a cancellation fee?
Cancellation policies vary from room to room. You can usually cancel or change your booking up to 24 hours before your planned arrival time. You can check to see what a hotel’s policy is, and whether they will charge a cancellation fee, under "Terms&Conditions" column or "Hotel Policies." This information is also included in your confirmation email. Please note that if your room is non-refundable or part of a special deal, it may have a different policy. You can see specific room policies under the " Terms&Conditions" column.
Can I cancel or change a Secret Deal or non-refundable booking?
Dates of stay for Secret Deals and non-refundable bookings cannot be changed because they have special low rates. If you choose to cancel reservations for these types of rooms, you might be charged according to the hotel’s policy.
How do I know if my booking has been canceled?
Once you have canceled your reservation you should receive an email confirming the cancellation. Please check your inbox and spam/junk mail folders. If you don’t receive an email please contact us.
When/How will I be refunded if I cancel my booking?
You will be refunded through the same payment method you used for your booking with the corresponding amount. Please allow 3 - 5 days for the bank to process your refund. The refund will appear on your bank statement once your bank has processed the transaction.
The hotel promised to refund the amount for my cancellation, why don’t you refund the amount back to me?
Please note that the terms of cancellation that we have with the hotels and suppliers we work with are subject to the contracts we have with them. These terms and conditions are normally not available for the hotel employee that promised a refund to you. Still, should you get an oral promise from a hotel employee for a refund, make sure you get that in writing along with the name and position of that person and send this to us. No refund demands will be even considered unless we have that statement in writing, signed by the relevant person.
I want to modify the date or type/ quantity of room(s) I have booked
Please send an email to reservations@booking-expo.com with your reservation number and in detail the amendments that you would like to make to your reservation. Our customer services team will respond to you within the next 24h from the receipt of your request.
You can make amendments to your reservation if it does not have a 'non refundable' cancellation policy.
Any modification to the type or quantity of rooms of a booking will incur in the administrative fee as stated in the booking conditions.
Why should I communicate any changes with you if I can simply call the hotel?
Please note that you have booked your accommodation through us, not directly with the hotel. Hence, the hotel is obliged to receive and honour only the changes transmitted to them through Booking Expo. Should you decide to contact the hotel directly, we bear no responsibility for any issues that might arise thereof.

Where can I find the address of the hotel?
You can see the hotel's address at the top of the hotel's page on Booking.com. It's also included in your booking confirmation email.
Where can I get directions to the property?
You will find directions to your stay in your booking confirmation:
- There's a link in your confirmation email to show directions to the property. The correct location of the property is already provided; you just need to choose your starting point.
- The full address of the property is also listed in your confirmation, so you can enter it into your navigation device.
